Thanks for asking about the schedule for next week.
I checked the room notes, and Monday works well for the smaller discussion, especially if we keep it before lunch so everyone can head back without feeling rushed. Tuesday could still work, but the projector in that room is being serviced, so it may be easier to stay with Monday and keep things simple. For the guest list, I would include Maya, Erin, Daniel, and Lewis since they all asked for the same overview last month.
As for materials, a one page summary and a separate sheet for follow-up topics should be enough. I do not think we need a full packet unless someone asks ahead of time. If you want, I can draft the outline this afternoon and send it over for edits. Also, I can bring name cards if the seating arrangement matters. Let me know whether you prefer a round table setup or rows, and I will plan from there.

I saw your note about the community meeting and wanted to answer the logistics part first.
Wednesday afternoon still seems like the smoothest option because several people are already nearby at that time, and it avoids the usual morning rush. If that changes, Thursday around midmorning would be my second choice. I would keep the format informal, maybe start with introductions, then move into the agenda, then reserve a few minutes at the end for smaller questions.
For seating, I think a U-shape would help people speak more comfortably than long rows. We should also place a small sign near the entrance so no one walks into the wrong room. If you need help with refreshments, I can handle the tea, sparkling water, plates, and napkins. Avery said they can arrive early to test the microphone, which should remove one extra task from the list. Send me the attendance update when you receive it, and I will adjust the printouts.
