I think the best approach would be to check the weather forecast first since we are planning to be outside for most of the afternoon. If it looks like rain we could move the whole thing to the covered patio area near the back of the building. They have those large ceiling fans that keep the air moving even on humid days. I already spoke with the facility manager and she said we could set up tables along the south wall and keep the walkway clear for people coming in from the parking lot. Let me know what you think about the timing because I know some people have other commitments later in the day.

I think we should finalize the playlist soon so everyone has time to review it before the weekend. I put together a mix of older songs and some newer ones that should appeal to different tastes. The sound system at the venue can handle both options so we wont need to bring extra equipment. A few people mentioned they might bring their own instruments but I think we should keep it simple with the setup we already have planned.
